General data processing policy

Frixis (hereinafter “we”) takes your data processing rights seriously. This statement explains how we collect, process and use your personal data. It thus constitutes the general data processing policy of Frixis.  

In doing so, Frixis aims to comply as much as possible with the laws and regulations relating to the protection of personal data.  

The entity responsible for the processing is Frixis, registered in the Crossroads Bank for Enterprises under no. 410.813.905, with registered office at Industrielaan 4, 9320 Aalst.

When does Frixis collect and process data? 

Frixis collects and processes data about you when you become a member with us, subscribe to an electronic advisory letter from us, when you order publications, when you register for a seminar, study day or event, when you register for our free e-zine or when you contact us in any other way. In certain cases, Frixis also processes data it obtains from third parties, with the aim of providing you with interesting information.  

In addition, we also collect and process your data if you provide products and services to our organisation. It goes without saying that your data will also be processed when preparing invoices and other accounting documents. 
 
In some cases, we process your data for the purpose of offering you our services (direct marketing), possibly via partners or other third parties. We may process data about you because it is or may be important to our activities, for example to be able to call upon your advice or services. 


What data does Frixis collect and process? 

It concerns the data you communicate to us and that we need to process your membership, such as your name, address, email address and professional details, such as company name and VAT number, as well as data about your subscriptions, orders, registrations or other contacts. In addition, we also collect professional data such as the company you represent and any other related data such as the activities and number of employees. Usually you provide us with this data directly, when making requests or inquiries.  

We collect this data both when you fill out our paper forms and when you do so electronically. Any visit to our website involves the use of cookies, about which you can find more information in our Privacy and Cookies Policy (Disclaimer, Article 1.6).  

Financial data must be processed as part of our accounting responsibilities. Data about your position and activities are processed as part of our communication objectives. 


For what purposes does Frixis collect and process data? 

We process the data we collect for membership management, customer management, delivery of the products or services you request, order or register for, and to promote other Frixis products and services such as promotional offers. Regarding our website, we tailor its content and ease of use to you, its user, as much as possible. In addition, we process your data to fulfil the obligations arising from providing a website and its content, and to enable you to use the interactive applications and services on this website.  

With regard to suppliers, we process the data for supplier management. Financial data are processed in the context of accounting activities. Furthermore, we process your data for the purpose of networking, communication and PR.


What is the basis for the collecting and processing of data by Frixis? 

In principle, we collect and process your data on the basis of the contractual relationship we have with you as a result of your membership or actions we take in relation to each other. Where processing is not necessary to carry out the contractual relationship, it is based on our legitimate interests as an organisation, in particular freedom of association and information. In doing so, we always ensure that a balance exists between our interests and yours, for example by granting you a right to object to the processing of your data. The processing may also be based on the consent you give us, in particular by entering your data on the website or by sending it to us. 


Will the data be disclosed to third parties? 

Your data is mainly processed internally, in the context of membership management, customer management and accounting. It is possible that we use third parties for certain specific services. In that case, your data may be transmitted to these third parties, but only for the relevant service and always under the control of Frixis. Sometimes we are also required to provide information about you. This is particularly the case when we are legally obliged to do so or when public authorities have the right to request data from us. In principle, your data will not be transferred to third countries (outside the European Union) or international organisations. 


How long do we keep your data? 

We will retain your data for as long as necessary to administer the membership, customer or supplier relationship/as long as you are a member, customer or supplier. After the end of this relationship, we will retain your data for 10 years. During this period of passive management, there will be only limited access to your data.


Your rights 

You can oppose the use of your data by Frixis for direct marketing purposes at any time.  You can access the data we process about you at any time and, if necessary, have it corrected. To do this, simply request such from info@frixis.be with proof of your identity. This identity confirmation is to prevent your data being disclosed to anyone who is not entitled to receive it. 


Modifications 

Frixis reserves the right to change this statement and/or policy. Changes will be notified to users via the website.
